Privacy Policy

This Privacy Policy describes how the Huntington Pool Services (“HPS”) internal admin application (the “Application”) collects, uses, and protects information. The Application is a private, single-tenant internal tool used only by authorized HPS staff.

Information we access

When an authorized HPS user connects the Application to HPS’s own QuickBooks Online company, the Application reads accounting data from that company, including customers, invoices, payments, items, vendors, purchase orders, and bills. This data belongs to HPS and is accessed solely to produce internal reporting and analysis.

Through Intuit’s OAuth 2.0 sign-in, the Application also receives the connecting user’s basic identity (name and email) to record who established the connection.

How we use information

Data is used exclusively for HPS’s internal billing, accounting, and operational reporting. The Application does not sell data and does not share data with third parties for marketing.

AI-assisted analysis

HPS may use a third-party generative AI service (Anthropic’s Claude) to help analyze and summarize HPS’s own accounting data for internal reporting. Only HPS’s own business data is processed in this way, and only for HPS’s internal use. Under the AI provider’s commercial terms, this data is not used to train the provider’s models. AI-assisted output is reviewed by authorized HPS staff and is not shown to external parties.

Storage and security

OAuth access and refresh tokens are stored securely and are never exposed to end users or committed to source control. All connections to Intuit use TLS 1.2 or higher. Access to the Application and its data is restricted to authorized HPS personnel. The Application logs each API interaction (including Intuit’s transaction identifier) for troubleshooting and audit purposes.

Data retention

Internal copies of accounting data are retained only as long as needed for HPS’s reporting purposes. When the QuickBooks connection is disconnected, the stored authorization tokens are revoked and removed.

Disconnecting

An authorized user may disconnect the QuickBooks integration at any time from within the Application or from the “My Apps” section of QuickBooks Online. Disconnecting revokes the Application’s access.
